Fewer loose ends.

Find jobs waiting on notes, hours, sign-off or a purchase order, without checking every record by hand.

Responsibility

Know who needs to act.

Give each missing item an owner, so coordinators can follow up with the right person.

Progress

Keep the handover moving.

Separate jobs that need attention from those ready for the office’s final invoice review.

A practical setup service

Start with your process.
Make it work better.

The first step is checking what your existing software can already do. The right fix may be a better setup, a clearer rule or a simple connection.

  1. 1

    Find the bottleneck.

Walk through a completed job with your office team. Agree what is needed for invoicing and where the handover gets stuck.

  2. 2

    Set up the workflow.

Use one agreed source of job information to flag missing items, show the next action and assign a responsible person.

  3. 3

    Test it with your team.

Check everyday jobs and awkward cases. Refine the rules, measure the change and hand over a process staff can use.

One focused first project

Fix a bottleneck.
Measure the difference.

Start with the handover between a finished job and an invoice ready for approval.

Before we speak

Good questions.
Clear answers.

We already use job management software. Can you still help?

Yes, if there is a gap in how the process works today. We check existing features first. The answer may be configuring your current system or improving how staff enter information. If it already handles the handover well, there may be no need for a separate setup.

Will this work with our current tools?

That is checked before quoting. The setup starts with one usable source, such as a job-system export or a structured spreadsheet. Connections and access depend on your software. Any extra integration work is scoped separately.

How much will our office team need to be involved?

A coordinator and a manager help explain the current process and test the result. Their input makes the rules useful. The aim is to reduce repeated checking and chasing while keeping staff in control of decisions.

Does it send invoices or make decisions automatically?

The setup highlights missing information and the next action. Your team checks the details and approves invoices. Any further automation is agreed separately.

What happens on the first call?

We spend 15 minutes on your current tools, job volume and the admin that slows the handover down. You can describe the process without sharing live data. If there is a useful fit, the next step is a scoped workflow review and a fixed proposal.
